Information we collect
We collect information you provide when you request a quote, arrange service or a table transaction, submit a website form, or contact us. Depending on your interaction, this includes your name, phone number, email address, service or delivery location, table and job details, messages, and files or photos you submit.
Our business records include the agreed work, scheduling details, communications, transaction amounts, payments, deposits and refunds. We also collect call records and website information as described below.
How we use information
We use relevant information to respond to inquiries, prepare quotes, arrange and perform work, communicate about jobs and table transactions, maintain business and accounting records, and handle service concerns and warranty requests.
We also use information to improve our systems and processes, protect our website against abuse, understand website traffic, and send optional marketing communications according to your choices.
Recorded calls and AI analysis
Customer phone calls are recorded and transcribed. We use AI tools to analyze call content to improve our systems and processes. Callers hear a recording notice at the start of the call.
We retain call records, including recordings, transcripts and related AI analyses, indefinitely, subject to applicable legal requirements. Contact us if you have questions about a recorded call or these practices.
Photos from jobs and service locations
Brookwell Billiards LLC uses photos from customer jobs and service locations, including customer homes, in public listings, on social media and in advertising. When we use these photos publicly, they exclude identifiable people and private personal details.
Contact us with questions or concerns about a particular photo. If you submit photos or files, avoid including unrelated sensitive information or private details that are unnecessary for your request.
Website tools and cookies
Our website is hosted on Squarespace. Hosting, security and analytics services receive technical and usage information such as IP addresses, browser, device and network information, referring pages, pages visited, timestamps and website interactions. We use these services to deliver and protect the website, prevent abuse and understand website use. Some services use cookies or similar technologies.
We use Google Analytics to understand how visitors find and use our website. Google Analytics processes device and browser information and website interactions and may use cookies or similar identifiers. Learn more about how Google processes information from sites using its services.
We also use Ahrefs analytics for traffic measurement. Ahrefs describes its analytics service as cookie-free; see Ahrefs' explanation of its analytics. Google reCAPTCHA helps protect our forms against spam and automated abuse.
You can use your browser settings to manage or delete cookies. Browser controls do not necessarily disable every form of website measurement.
Providers and information sharing
We use tools and service providers for website hosting, email and phone communications, recording, transcription and AI analysis, payments, and managing business records. These include Squarespace for our website and Airtable for customer and job records. Relevant information may be processed by providers supporting these functions. Payment services also handle information under their own privacy policies.
We may provide relevant job information to people helping perform the work you arrange with us. We may disclose information when reasonably necessary to comply with applicable law or a valid legal request, protect people or property, or establish, exercise or defend legal rights.
We do not sell customer information or share it with other businesses for their own marketing. No mobile information or messaging opt-in information will be sold or shared with third parties for their promotional or marketing purposes. Providers supporting Brookwell's own communications may process information to deliver those communications.
Text messages and email
Our communications include quotes, scheduling and job updates, as well as optional promotional offers and new-table alerts through text messages and email. Marketing texts and emails are optional, and consent to promotional texts is not a condition of purchase.
For texts, reply STOP to opt out or HELP for assistance. Use the unsubscribe method in a marketing email or contact Contact@brookwellbilliards.com to update your email preferences. Our Terms and Conditions describe the text-messaging program, including message frequency and potential carrier charges.
Retention of other records
Apart from the call records described above, our retention policy is to keep information for as long as reasonably needed for the purposes described here, including customer service, work records, warranty claims, accounting and legal obligations. Retention varies by record type and applicable requirements. This does not change the indefinite retention of call records described above.
Privacy questions and requests
For privacy questions, requests to access, correct or delete information, or concerns about a photo, contact Contact@brookwellbilliards.com. Include enough information to identify the relevant communication, job or image, and avoid sending unrelated sensitive information.
We may need to verify your identity before responding to a request. We handle requests in accordance with applicable law; some information may need to be retained for business records or legal obligations. This policy does not promise that every deletion request can be granted.
Changes to this policy
We may update this policy and will identify the revision date above. We will provide any additional notice or obtain consent where applicable law requires it.
